Job Description

Primary role purpose of Personal Assistant:

Provide administrative support to the G2 business unit based in the London office and to provide wider administrative support to the overall BU (Business Unit). The successful candidate will provide PA support to the leadership team while supporting a variety of activities for the division and, as required, for other groups within the G2 business unit. The successful candidate will have an organisational talent for managing multiple priorities in a proactive, resilient and energetic manner, and the flexibility to react quickly to changing situations. In addition the candidate would also have the skills and personality to interact with all management levels, across all functions of the business. This position will report directly to the Global Government EA. 

Job Requirements

Key Responsibilities:

  • Diary & inbox management
  • Organising and coordinating meetings and teleconferences - internally and externally, domestically and internationally, including providing support to visitors to the office.
  • Organise complex travel arrangements and requirements (flight bookings, hotel reservations, boarding passes, etc.).
  • Set up conference rooms/meeting rooms, make catering arrangements, ordering and setting up audio-visual equipment, etc.
  • Raises PO’s, approves PR’s, manage Concur expenses and other financial items including the processing of the Leadership Team’s expenses.
  • Notifying reception and security of visitors.
  • Provide co-operative back-up support for BU EA.
  • Any other administrative duties as required.

 

Essential Knowledge and Skills:

  • Previous experience of administration support in an office environment
  • Maintain a high level of organization and attention to detail with an ability to plan and prioritise workloads
  • Intermediate Microsoft Office skills
  • Pro-active and an effective communicator
  • A high energy level with a dynamic, positive style
  • Open, assertive manner and good humour
  • Excellent interpersonal skills

 

Desirable Knowledge and Skills:

  • Previous administration support experience in a fast paced, multi-cultural, multi-location office environment.
  • Knowledge or experience in SAP, Concur, Webex
