Job Description

Primary Role Purpose

The PA/UK Team support plays a pivotal role in a rapidly evolving part of Inmarsat’s business. The individual is a lynch-pin – ensuring the existing team have all they need to fulfil their day-to-day commercial responsibilities, and that frequent new additions to the team are seamlessly integrated in a way that enables them to focus on the business from day one. The PA will lend one-on-one support to a number of the Aviation Leadership team, and a few senior team members, and in addition act as the local EA when the President of Aviation and other execs are visiting the London office.

Job Requirements

Key Responsibilities 

  • PA support to six of the Aviation Leadership team (ALT). This includes diary management, travel booking, processing expenses and other adhoc tasks as required
  • Intermittent EA support to President of Aviation and any other visiting Execs in the ABU. Close collaboration with PAs in other geographies to ensure seamless support as Execs travel
  • UK Team-wide assistance, including:
    • Liaison with relevant internal functions (HR, Facilities, IT, telecoms) to plan ahead for new joiners. Coordinating between and amongst Inmarsat departments to preempt any issues, and make sure they’re resolved.
    • Work with Facilities and the Project Odyssey team on the building refurbishment. Financial administration. Take ownership of raising Purchase Requisitions for invoices which pertain to the UK team. Keep tabs on payments and if necessary keep process moving throughout subsequent stage-gates in Inmarsat
    • Reconcile purchasing card monthly
    • Assist with coordinating the onboarding of any London and international employees that report to London hiring managers – leverage local PAs and administrators in other geographies to ensure a comprehensive joiner process.
    • Assist in planning events, meetings, and conference coordination – sending out comms, room booking, catering, welcoming visitors etc.
    • Put in place any admin processes, or simple fixes, to make the lives of team members more productive.
    • Manage the Aviation space on the 7th floor, including maintaining the meeting room calendar, ordering stationary etc
    • Carrying out any ad-hoc admin tasks to ensure the smooth running of the Aviation business unit.

Essential Knowledge and Skills

  • Previous PA experience
  • Fluency in Outlook and Microsoft Office suite
  • Experience in a dynamic, growing environment with no blue-print of how to solve new challenges
  • Experience procession expenses and diligence in staying on top of these – Concur experience preferred
  • Experience with some complex financial administration – SAP experience preferred
