Job Description

Primary Purpose of the position:

The role will be an essential support role, facilitating; the management and governance of Software as a Service (SaaS) across the business, mobile phone reporting & invoicing, asset purchase and control, user account governance, asset lifecycle management and assist in supporting operational vendor relationships

Job Requirements

Key Responsibilities of the position:

  • Manage and govern SaaS applications, regularly liaising with internal stakeholders to understand
  • Creating end user documentation best practices around SaaS, Software and Hardware usage and processes
  • Ensure the Configuration Management Database (CMDB) is up-to-date so accurate reporting can be produced, enabling software and hardware assets to be properly managed
  • Support the matrix management of global mobile estate, supplier relationships and understand the businesses future requirements
  • Provide in depth insight into mobile spend and trends, liaising with senior stakeholders to help manage costs
  • To act as a focal point for regional administrators, coordinating and enforcing adherence to mobile and desk phone standards
  • Manage the global purchasing and stock control of mobile devices and accessories. Phones will be procured in role, and sourced by local providers to ensure right models and standards are maintained
  • Working with the Vendor Manager assess and support future strategy for Operational Services
  • Manage the process for reporting of charges and usage to create visibility of business unit’s expenditure.
  • Working closely with the Operational Services Manager for financials, usage and demand management reporting across the IT asset base
  • Assist the Vendor and Telecoms Manager with continuous improvement programmes.
  • Perform general administrative functions to support operational excellence, including purchasing, audit and budgeting
  • Regular contact with Finance regarding PR’s, PO’s and invoices
  • Produce reports, presentation and briefs to support group functions
  • Provide on boarding assistance for Inmarsat suppliers
  • Identify and implement efficiencies and streamline processes related to IT admin functions
  • Ensure implementation of policies and practices

Relationship to others:

  • Liaising with internal departments with regards to all aspects of supplier operations
  • Working with senior stakeholders to help understand and control cost
  • Liaising with IT Service Desk/Telecoms contacts situated at numerous locations around the world on operational support matters
  • Building strong relationships with finance and procurement departments for invoice payments and reporting purposes.
  • Working closely with the Operational Service Manager for exec reporting.
  • Liaising with procurement to support purchasing of software and hardware, and assist in contract negotiation.

Previous Experience:

  • Administrator / support experience within procurement operations or vendor management role

Essential Knowledge & Skills:

All candidates should possess the following:

  • Good customer focusing skills and to be team oriented
  • Good understanding of outsourced arrangements
  • Knowledge of SaaS applications
  • Organised, structured, thorough, proactive, motivated, self-starter
  • Drive and enthusiasm, and the willingness to take on additional responsibility.
  • Excellent interpersonal skills with the ability to work as part of a team and to display flexibility, initiative and cooperation.
  • Computer literate – word processing & excel spreadsheets
  • Good understanding of MI reporting
  • Finance/invoicing experience
  • Interest in mobile phone technology
  • General interest in commercial technology and understanding of capabilities.
  • Asset Management experience advantageous.
  • Good command of the English language, both written & oral
